Delivery notes that record what actually turned up

The gap between what you ordered and what arrived is where disputes start. Gaffer records the delivery against the purchase order and the site, with the items received, whether everything came, whether the condition was satisfactory, and any discrepancy — signed for by a named person.

How delivery notes work in Gaffer

A note per delivery, linked to the purchase order it fulfils.

Checked against the order

Because the note references the purchase order, what arrived can be compared with what was ordered rather than taken on trust.

Discrepancies written down

All-received and condition-satisfactory are separate flags with a discrepancy note, so a short or damaged delivery is documented while the driver is still there.

Received by a name

The person who took the delivery is recorded, which is the detail that settles arguments weeks later.

What you get

Delivery notes sit with your purchase orders, suppliers, stock and job records in one platform.

  • Delivery reference plus the supplier's own delivery reference
  • Linked to the purchase order, supplier, job and site
  • Delivery date and carrier recorded
  • Items received captured on the note
  • All-received and condition-satisfactory flags held separately
  • Discrepancy notes for shortages and damage
  • Received by a named person, with status tracked

Common questions about delivery notes

Why record deliveries separately from the PO?

Because they frequently differ. Part-deliveries, substitutions and damage are normal, and a purchase order marked 'received' hides all of it. The delivery note is where the difference is captured.

What happens when a delivery is short?

All-received is left unticked and the discrepancy is written on the note. That gives you a dated record to raise with the merchant, rather than a recollection.

Can deliveries be booked in on site?

Yes. Deliveries to site are recorded in the mobile app by whoever takes them, offline if necessary, and sync automatically.

Does this update stock?

Delivery notes sit alongside Gaffer's stock and inventory records, so goods received onto van or store stock are reflected there rather than being tracked in two disconnected places.
