How long must I keep waste transfer notes?
Two years for non-hazardous waste transfer notes, and three years for hazardous waste consignment notes. Gaffer retains them against the job and site, so retention is not dependent on a paper file surviving in a van.
What is an EWC code?
A code from the European Waste Catalogue — retained in UK law — that classifies the waste type. It is what determines whether waste is hazardous and how it must be handled, so a transfer note without one is difficult to rely on.
Do I need to check the carrier's registration?
Yes. Duty of care means you must ensure waste is only transferred to an authorised person. Recording the carrier registration number on the note is how you evidence that you checked rather than assumed.
What about hazardous waste?
Hazardous waste needs a consignment note rather than a standard transfer note, with additional detail and a longer retention period. Record the EWC code accurately and the classification follows from it.
