Compliance & Certificates

Check your subbies' insurance before they are on your site

If a subcontractor's public liability has lapsed, it is your problem the moment something happens. Gaffer holds each subcontractor's insurers, cover limits and expiry dates alongside their health and safety policy status — so the check happens before the job, not after the incident.

How subcontractor compliance works in Gaffer

A compliance record per subcontractor company, with the expiries surfaced.

Insurance with limits

Public liability insurer and cover limit, and employers liability insurer, are recorded with their expiry dates — not just a tick that says insured.

Expiry that reaches you

Insurance expiry surfaces with your other compliance alerts, so a lapsed policy is caught before the subcontractor is scheduled.

Policy status held

Whether a health and safety policy is held and when it was last reviewed is recorded, which is what principal contractors ask you for in turn.

What you get

Subcontractor compliance sits with your subcontractor portal, CIS deductions and contractor inductions in one platform.

  • Company name, contact details and trade per subcontractor
  • Public liability insurer, cover limit and expiry date
  • Employers liability insurer and expiry date
  • Health and safety policy held and last reviewed date
  • Compliance status visible per subcontractor
  • Expiries surfaced alongside your own certificate alerts
  • Works with the subcontractor portal and CIS deductions

Common questions about subcontractor compliance

Why do I need to check a subcontractor's insurance?

Because if they cause damage or injury and their cover has lapsed, the claim tends to find its way to you. It is also a standard question in principal contractor onboarding and most SSIP accreditations — you are expected to evidence that you check your supply chain.

What cover limit should I require?

It depends on the work and the client, but £2 million public liability is a common minimum and many principal contractors require £5 million or more. Gaffer stores the actual limit so you can see whether it meets the requirement rather than just that cover exists.

Does it stop me scheduling a non-compliant subcontractor?

The compliance status and expiries are visible on the subcontractor record, and expiry alerts surface lapses ahead of time. The decision remains yours, but it is an informed one.

How does this relate to CIS?

CIS deductions handle the tax side of paying subcontractors. This handles the risk side — insurance and safety policy. Both live in Gaffer against the same subcontractor records.
